IT Checklist for Opening a New Office
Opening a new office involves more than desks, furniture, and internet service.
Your network, Wi-Fi, computers, printers, conference rooms, phones, security, and cloud systems all need to be ready before employees arrive.
A good IT checklist helps reduce delays, avoid last-minute problems, and make sure the new office is ready to operate from day one.
1. Order Internet Service Early
Business internet installation can take time, especially if the building needs new cabling or carrier work.
Before opening day, confirm:
- Internet provider
- Installation date
- Required bandwidth
- Static IP needs
- Backup internet options
- Modem or handoff location
- Building access requirements
Do not wait until the final week to order service.
2. Plan the Network Layout
Before installing equipment, decide where networking hardware will be located.
This may include:
- Firewall or router
- Network switches
- Patch panels
- Wireless access points
- UPS battery backup
- Network rack
- ISP equipment
Make sure the network closet has power, ventilation, and enough space for current and future equipment.
3. Install and Test Business Wi-Fi
Office Wi-Fi should be planned around the actual layout of the space.
Walls, conference rooms, furniture, and neighboring wireless networks can all affect coverage.
Before employees move in:
- Install wireless access points
- Test coverage throughout the office
- Check for dead zones
- Create employee Wi-Fi
- Create separate guest Wi-Fi
- Test video calls and cloud applications
- Verify roaming between access points
4. Check Ethernet Cabling
Some devices still work best with wired connections.
Verify that Ethernet drops are available where needed for:
- Desktops
- Conference rooms
- Printers
- VoIP phones
- Access points
- Security equipment
- Specialized business systems
Labeling cables and switch ports can also make future troubleshooting much easier.
5. Prepare Employee Computers
Laptops and desktops should be ready before employees arrive.
Typical preparation may include:
- Operating system updates
- Microsoft 365 setup
- Google Workspace setup
- Security software
- Device management enrollment
- VPN configuration
- Printers
- Business applications
- Wi-Fi profiles
- User accounts
If your company uses Microsoft Intune or Jamf, devices can also be enrolled into centralized management.
6. Set Up Microsoft 365 or Google Workspace
Make sure employees can access the systems they need.
Review:
- Email accounts
- Microsoft Teams
- SharePoint
- OneDrive
- Google Drive
- Shared mailboxes
- Distribution groups
- MFA
- User permissions
- File access
Opening a new office is also a good time to review old accounts and unnecessary access.
7. Install Printers and Office Devices
Printers are often forgotten until opening day.
Before employees arrive:
- Connect printers to the network
- Assign IP addresses if needed
- Install drivers
- Test printing and scanning
- Configure scan-to-email
- Confirm access from Windows and Mac devices
8. Set Up Conference Rooms
Conference rooms should be tested before the first important meeting.
Check:
- Displays
- Microsoft Teams Rooms
- Zoom Rooms
- Cameras
- Microphones
- Speakers
- HDMI connections
- Wireless presentation
- Room controllers
- Network connectivity
Run at least one test call from each room.
9. Set Up VoIP Phones
If your business uses VoIP, make sure phones and call routing are configured before opening.
Test:
- Desk phones
- Extensions
- Voicemail
- Main business number
- Call forwarding
- Auto attendant
- Emergency calling
- Headsets
10. Review Cybersecurity
A new office should not go live without basic security controls.
At minimum, consider:
- Multi-factor authentication
- Endpoint protection
- Device encryption
- Strong Wi-Fi security
- Separate guest network
- Firewall configuration
- Backups
- Security updates
- User access review
11. Create an IT Inventory
Document what equipment is installed and where it is located.
Track:
- Laptops
- Desktops
- Monitors
- Phones
- Printers
- Switches
- Firewalls
- Access points
- Conference room equipment
- Serial numbers
- Assigned users
Good inventory records make support and replacement planning much easier later.
12. Test Everything Before Opening Day
Do not wait until employees arrive to discover problems.
Test the office as if it were already operating.
Check:
- Internet
- Wi-Fi
- Ethernet
- VPN
- File access
- Printers
- Conference rooms
- VoIP phones
- Business applications

Fixing these issues before opening day can prevent unnecessary downtime.
